The Role of Box AI

@LarsJ Box started by highlighting how AI is changing the landscape of business at an unparalleled pace: “We’re entering this AI-first era of business… it’s kind of unprecedented.”

Lars covered Box AI’s capabilities in orchestrating workflows and reducing high-effort, low-value tasks. By using AI-driven tools, media organizations can redirect their creative teams towards strategic priorities, enhancing both efficiency and innovation.

Box’s Approach to Ethical AI

One theme was Box’s commitment to ethical, secure, and transparent AI usage. @LarsJ Box  stressed:

“What’s essential is that the use of AI is done in an ethical manner… it still gives you transparency over what’s occurring.”

This principle aligns with Box’s dedication to protecting intellectual property (IP), enforcing compliance, and safeguarding sensitive content against “shadow AI”—a new term introduced during the discussion. Shadow AI refers to unauthorized AI tools adopted by departments without company approval, posing risks to IP security.

The recommendation? Establish cross-functional AI committees to manage risks and align AI usage with enterprise standards. By taking proactive measures, organizations can harness AI’s potential confidently while mitigating compliance threats.

Recent Product Features for Media Professionals

1. Multi-Document Querying for Content Insights

During the demonstration, Box AI’s multi-document query was talked about for content analysis. Users can query large volumes of documents at file, folder, or hub levels to unlock insights. For instance:

  • Compare and contrast product images

  • Review iterations of agreements, scripts, or budgets

2. Agent Orchestration in Box AI Studio

@LarsJ Box  show how users can craft specialized AI agents tailored to unique processes in Box AI Studio. These agents can be tested in a playground to ensure accuracy before being deployed to specific cohorts. Media teams were encouraged to apply industry-specific tools: “If focusing on creatives who review videos, use something specific like Gemini Flash.”

3. Best Practices for AI Prompt Engineering

@LarsJ Box  introduced the CRAFT methodology to empower users in optimizing prompts when communicating with AI. CRAFT emphasizes:

  • Context: Provide clear and detailed background

  • Role Allocation: Assign precise roles to AI for better task handling

  • Actions: Define objectives and even prohibit specific tasks

  • Format: Specify how the output should appear, ensuring usability

  • Tone: Detail preferred tone to align with brand voice

Additionally, Box plans to roll out a prompt library, pre populated with templates for industries and use cases like research, creation, or analysis, enhancing workflow efficiency for users.

Future of AI Agents: Looking Ahead

@Jade McQueen Box (Managing Director for Media & Entertainment at Box), explored visionary applications of autonomous AI agents. While today’s systems assist users, tomorrow’s agents could independently orchestrate workflows and communicate across enterprises.

“Think of agents speaking from one enterprise to another and from one workflow to the entire ecosystem,” Jade noted.

New foundational agents include:

  • Extract Agent: For pulling key data from lengthy content like scripts or financial documents

  • Compose Agent: Assists in writing blogs, emails, and Box Notes content

  • Q&A Agent: Facilitates querying across multiple documents and platforms

  • Search Agent (launching November 25): Offers deeper, more accurate access to Box libraries

  • Research Agent: Generates comprehensive reports and tables from collected data

All these agents are secured by Box’s strict permissioning system, ensuring users can only inquire on content they’re authorized to access—a critical differentiator in content protection.

Ensuring Script Security & Protecting IP with AI Agents

@LarsJ Box  demonstrated Box’s secure script management capabilities, tailored for media and entertainment professionals managing sensitive content. The features included:

  • Customizable Watermarking: Prevent screenshots while embedding user-specific identifiers.

  • Seven Levels of Access Control: Fine-tune permissions to ensure security.

  • Classification Labels: Prevent accidental leaks by blocking external sharing or public links.

  • Customizable Landing Pages: Replace conventional folder structures with intuitive, visual landing pages for organized collaboration.

A standout capability is the AI agents for compliance. One example shared was Box’s integration of Writers Guild rules into an agent workflow. If someone attempts to use AI for forbidden tasks like creating dialogue, the agent issues a tailored message highlighting the restriction.“This keeps you compliant and prevents violations from entering your workflows,”

What’s Next? Video Q&A Beta Release & Community Engagement

@Jade McQueen Box  excitedly announced a beta release in two weeks. Media professionals will gain the ability to upload video and audio files and use metadata instruction tools:

“This is going to be great for your VFX shots… your clips… your short-form videos.”

Jade mentioned the potential for an agent to tell you where to shoot your next video by analyzing scouting video content.

Box also stressed the importance of community participation to improve products and foster collaboration. Users were encouraged to join the community to share feedback, participate in betas, access resources, and interact with industry leaders.

Final Reflections: The Early Days of AI in Media

The roundtable closed with a reminder that the industry is still in the early stages of its AI journey. @Jade McQueen Box shared this thought: “As content creators and IP owners, it’s important to understand precisely which AI systems you’re working with and how your content is being trained and secured.”

@Jade McQueen Box also announced an upcoming Live Q&A with Aaron Levie, you are welcome to share your question in the replies!
